Job Description
Automation Risk
This role involves a high proportion of routine and semi-structured tasks, such as managing work orders and documentation, which are increasingly automatable with modern helpdesk and workflow tools. However, tasks requiring direct client interaction, nuanced communication, and stakeholder management remain less susceptible to full automation, though AI can augment many administrative functions.
Task analysis
- Create, track, update, and close work orders in the helpdesk system.
- Proactively monitor open jobs to ensure reactive work orders are actioned within agreed timescales.
- Collate engineers’ job reports and supporting documentation for individual work orders, including sorting, scanning, and uploading for invoicing.
- Coordinate site visits to minimize disruption to clients and ensure all advance access permissions are obtained.
- Progress job quotes and orders in support of the business.
- Participate in client meetings in person or via Teams/telephone to discuss service requirements and updates.
- Communicate with stakeholders at all levels to provide updates and resolve issues.
- Prepare and submit documentation for invoicing and record-keeping.
