Job Description

Our client seeks a Temporary Executive Assistant to join their team on a 12 Month contract. Key Responsibilities: Manage the CEO's diary, contacts, time management and prioritisation of meetings, being aware of committee/meetings cycle, potential conflicts and other work, diary pressures and deadlines. Provide and maintain confidential, comprehensive, and effective support and assistance to the CEO and their direct reports. Maintain open communication and working relationships with other employees, across the Group, as required to clarify the CEO's requirements and ensure smooth progress and achievement of deadlines. Work as a Team with the other Executive Assistants, work together effectively, support each other, share information and experience and have oversight of members and Executives travel plans. Have overall oversight of the Administration Assistants arrangement of meetings and/or events as required to include bookings, hospitality, accommodation, travel schedules. Assists with any projects, workstreams and initiatives assigned by the CEO spanning all business units. Oversee daily office operations, general office maintenance and facilities management. Key contact for office service providers. Oversee general office administrative tasks carried out by the Administration Assistant. Provide support and guidance to Administration Assistant in relation to travel coordination for employees and visitors. Coordinate the office events calendar with Operational HR and the Administration Assistant, supporting events across all locations. Manage the Administration Assistant and work closely with to ensure they are effective in their role. Key Skills & Experience: Previous experience as an Executive Assistant. Ability to work independently and with flexibility. Highly motivated and enthusiastic. Calm persona in the face of unexpected issues, and the ability and willingness to deal with matters outside immediate skill set/experience. Strong initiative and ability to manage multiple tasks. Good decision making. Effective influencing skills. Event management and logistics. Ability to complete projects timely and accurately. Excellent time manager. Detail oriented with strong organisational and analytical skills. Able to say 'No' politely (and knows when this is appropriate). Creative problem identification and solving.
